Global Search

Global Search lets you find documents across every dossier in your library using keywords, phrases, and filters. Instead of opening individual dossiers and browsing their TOC trees, you can search your entire regulatory portfolio from one page.

Accessing Global Search #

Click Global Search (magnifying glass icon) in the sidebar. The search page opens with a large search bar and an empty results area.

How to Search #

  1. Click in the search bar at the top of the page.
  2. Type your search terms. You can use:
    • Simple keywords: stability — finds documents containing “stability”
    • Exact phrases: "clinical study report" — finds the exact phrase in quotes
    • Module filter: module:m5 — restricts results to Module 5 (Clinical)
    • File type filter: type:pdf — restricts results to PDF files
    • Application filter: app:114114 — restricts results to a specific application number
    • Exclude terms: -index — excludes documents containing “index”
    • Combined: stability type:pdf module:m3 — combine any of the above
  3. Press Enter or click the search button.
  4. Results appear below. Each result shows the document name, parent dossier, submission, module, file type, and a text snippet with your search terms highlighted.
Tip: Click the Search tips link (lightbulb icon) below the search bar to see all available search syntax without leaving the page.

Understanding Search Results #

Each search result card includes:

  • Document name — The file name as it appears in the eCTD structure
  • Breadcrumb path — Shows Application > Submission > Module > Section, so you know exactly where the document lives
  • Text snippet — A preview of the document text around your search terms, with matches highlighted in bold
  • File type icon — PDF, Word, Excel, XML, etc.

Click any result to open that document directly in the TOC viewer. The document opens in context — you can see its position in the TOC tree and browse neighboring documents.

Filtering Results #

After searching, use the Refine Results panel on the right to narrow your results with dropdown filters:

Filter Options
Module M1, M2, M3, M4, M5, STF
Document Type PDF, DOCX, XLSX, XPT, XML, and others
Application Dropdown of all dossiers in your library
Submission Specific sequence within the selected application
Date Range Last 7 days, Last 30 days, or Custom date range

Active filters appear as chips above the results. Click the X on any chip to remove it, or click Clear All to reset.

AI-Powered Answers #

When you phrase your search as a question (e.g., “What is the shelf life of the drug product?”), the AI Answer panel may appear above the search results. This panel provides a synthesized answer drawn from your documents, with source references you can click to verify.

Note: AI answers are generated from your dossier content. They are helpful starting points but should always be verified against the source documents, especially for regulatory submissions.

Quick Search Suggestions #

When the search page first loads (before any search), you will see suggestion chips with common search terms like “stability,” “clinical study report,” and “impurity.” Click any chip to instantly search for that term.

Troubleshooting #

Problem Solution
No results found Try broader keywords, remove filters, or check spelling. Use "exact phrase" syntax only when you are sure of the exact wording.
Too many results Add module or type filters (e.g., module:m3 type:pdf). Use exact phrases in quotes to narrow matches.
Results from wrong dossier Use the Application filter in the Refine panel to restrict to a specific dossier.
Search is slow Large libraries (100+ dossiers) take longer. Try adding filters to reduce the search scope.
